Conditions

  • Should your staff wish to stay overnight, you will need to book accommodation for them via our booking forms - depending on availability
  • If you would like to bring more than two staff members to manage your stand, lunches and/or accommodation will need to be booked for them
  • Your 1/4-page advert must be either uploaded or sent to  by 06/01/2025 to be included in the Event Guide. Some examples can be found HERE

General Conditions

  • Please note that costs do not include VAT unless stated otherwise
  • The exhibition packages do not include overnight accommodation or the evening meal on Tuesday night unless this has expressly been included
  • For any of the meals/refreshments/overnight stays, please use our booking form, as we have arranged a special rate with the hotel and will need to include your staff in our numbers for the event
  • Bookings will not be accepted without a fully completed booking form, including all invoicing information
  • Exhibition spaces in the exhibition will not be finally confirmed until payment has been received
  • Delegates will be directed to your stand during all five workshop sessions in an interactive session. It is therefore essential that your stand is manned during all five workshop sessions and during break-out times
  • We will allocate your stand space 4 weeks before the event
  • Please be mindful that this is an SBD event, please bring SBD approved products only

Cancellation Policy

To secure your exhibition stand, all fees must be paid from 14 days of invoice, unless prior arrangement. Any unpaid Member will be contacted by SBD compliance and must pay the full balance 4 weeks before the event. If the invoice is not paid your booking will be cancelled, and your logos/name will be removed from all literature associated with ATLAS 25.  

  • All cancellation requests must be made in writing
  • 50% liable for the cost of the stand 12 weeks before the event
  • 75% liable for the cost of the stand 6 weeks before the event
  • 100% liable for the cost of the stand 4 weeks before the event

A % refund will be granted when the cancellation request is received within the terms stated above. 

No refunds will be granted if the request is received with fewer than 4 weeks prior to the event on 18/19 February 2025.

If the event is cancelled by Police CPI, registrants may be extended a full refund (100%) or moved to an alternative date.


Health & Safety Information

  • You are responsible for your own Risk Assessment, a copy of which must be sent to the events team in advance
  • You are also responsible for keeping your stand area free from hazards/dangers. This will be monitored regularly on-site
  • You should have Public Liability Insurance
  • Ensure you are familiar with the Health & Safety at Work Act 1974
  • All electrical equipment brought into the venue should be PAT tested
  • You must ensure that when working with substances hazardous to your health, adequate systems are provided for all persons, as per COSHH 2002
  • If you or any of your co-workers have a special need, you are to advise us in advance so appropriate steps can be taken to ensure reasonable access and facilities can be provided, as per the Disability Discrimination Act 1995
  • You are responsible in ensuring safe assembly of your stand area, and allocating tasks to appropriately trained persons
  • All staff should wear the appropriate protective clothing
  • All persons working on your stand should be familiar with the Manual Handling Operations Regulations 1992
  • In the event of an accident please contact a member of the SJ Event Consultancy Team, who will comply with RIDDOR 2013
  • Please ensure all your staff are aware of the nearest fire exit to them
  • Fire procedures are in place and should be followed in case of fire
  • You are responsible for, and will be charged for any damage you cause to the venue or other person’s property
  • Our Event Management Company, SJ Event Consultancy are producing a full Event Safety Plan which is available to all delegates on-site
